We know that policies can feel dry, but they also exist to protect the time, energy and safety of everyone involved – students, teachers and the wider community. Our aim is to make these guidelines as transparent and humane as possible, so you know what to expect from us and what we ask in return. 1. Introduction and scope
These policies and terms apply to services offered through Yoga x Life Studios, Yoga x Life Trainings, Yoga x Life Retreats, and Kula. Depending on the service you book or use, your relationship may be with Yoga x Life Studios Ltd, Yoga x Life Retreats Ltd, and related Yoga x Life services operating under the Yoga x Life brand.
By booking, attending, purchasing, subscribing to, or accessing any of our services, you agree to the relevant terms set out on this page, together with any additional terms stated on the relevant booking, retreat, training, membership, or product page.
Nothing in these terms affects your statutory rights under UK consumer law.
2. Studio bookings and participation
These terms apply to yoga classes, meditation classes, studio workshops, special events, and other in-person bookings made through Yoga x Life Studios. Yoga x Life Studios is operated by Yoga x Life Studios Ltd. This section covers participation, health, bookings, arrivals, etiquette, waiting lists, cancellations, service changes, and complaints.
Participation, health and personal responsibility
By attending a class, event, or other in-person activity with Yoga x Life, you confirm that you are medically fit and able to participate. It is your responsibility to let the relevant teacher or staff member know about any injuries, pregnancy, recent surgery, epilepsy, low or high blood pressure, mental or physical health considerations, or anything else that may affect your practice or safety.
Yoga, meditation, breathwork, and related practices are not a substitute for medical or psychological care. You remain responsible for your own wellbeing, for practising within your own capacity, and for seeking medical advice where appropriate.
If at any point during a class or event you experience pain, dizziness, distress, discomfort, or any symptom linked to a pre-existing condition, you should stop and let the teacher know. We may ask for confirmation from a suitable healthcare professional before participation where appropriate.
Bookings and availability
Classes and events are always subject to availability, with priority generally given to advance bookings over drop-ins. Bookings may be made through the website or booking app, and payment is required at the time of booking unless a booking is covered by an active membership, pass, or other valid credit.
Some events and wider offerings can also be viewed through the Calendar page, which gives a broader picture of what is coming up across Yoga x Life. Because some offers sit outside standard studio pricing, such as teacher trainings, retreats, and certain special events, they may not always appear in the app in the same way as weekly classes.
Arriving at the studio
Studios are normally open from at least 15 minutes before class begins. We ask you to arrive in good time so you can settle in without rushing and so classes can begin smoothly for everyone.
Studio opening hours and contact routes are listed on the Contact page. In the evenings, the main studio door may be locked at the class start time, and access for late arrivals is always at the discretion of the teacher.
Please silence mobile phones and leave belongings in the spaces provided. Yoga x Life Studios cannot accept responsibility for loss, theft, or damage to items brought onto the premises.
Studio etiquette and conduct
We ask all students to help maintain a calm, respectful atmosphere in the studio. This includes arriving in good time, respecting shared space, following teacher guidance where relevant, and being mindful of noise, phones, and disruption before and after class.
If you arrive late and are permitted to enter, please join the class quietly and with minimal disruption. We reserve the right to refuse entry or ask a participant to leave where behaviour is unsafe, abusive, discriminatory, disruptive, or otherwise incompatible with the wellbeing of the group.
Waiting lists
Some full classes operate a waiting list. If you join a waiting list and a space becomes available more than 90 minutes before the class begins, you may be moved automatically into the class and notified by email, depending on your account notification settings.
If you no longer wish to wait for a place, please remove yourself from the waiting list as soon as possible. After 90 minutes before the class start time, automatic upgrades may stop, although spaces may still become available manually through the app or website.
Cancellations by you
Booked classes may be cancelled through the website or booking app up to 90 minutes before the class start time without charge. Booked events may be cancelled through the website or app up to 10 days before the event start date without charge unless otherwise stated on the event page.
Where a cancellation is made within the applicable cancellation window, the relevant class credit will usually be returned to your account, subject to the expiry rules shown in your account. Cancellations should be made through the website or booking app wherever possible, as teachers cannot process cancellations directly and we cannot guarantee that email or phone requests will be actioned in time.
Late cancellations and no-shows
If you cancel a class within 90 minutes of the start time, a late cancellation fee of £2.50 may apply. If you cancel after 5 minutes before the class begins, or do not attend without cancelling, this may be treated as a no-show and a £5 fee may apply.
After the relevant cancellation window has passed, classes and events are non-refundable unless we agree otherwise or are required to provide a refund by law. Free classes, events, or special bookings may also carry non-attendance charges where stated at the point of booking.
Changes and cancellations by us
We reserve the right to make reasonable changes to the timetable, teachers, class format, event format, opening hours, or availability where necessary. This may include substituting a teacher, changing a room, moving a class online or offline, rescheduling, or cancelling a service where required.
Where we cancel a class or event and you are entitled to a refund or reinstated credit, we will usually return the relevant credit to your account or process the appropriate refund. Teacher substitutions or minor timetable changes do not usually entitle a participant to a refund.
Complaints and queries
If you have a complaint, concern, or query relating to studio classes, memberships, or your account, please contact the managers in writing so we have a clear record and can support you properly.

3. Studio memberships and class passes
These terms apply to Yoga x Life Studios memberships, introductory offers, prepaid class passes, and related billing arrangements. These products are offered through Yoga x Life Studios Ltd. This section covers personal use, billing, auto-renewal, pauses, upgrades, downgrades, failed payments, pricing, and availability.
Personal use
Memberships and class passes are for the named account holder only and may not be shared, transferred, resold, or used by another person unless expressly stated otherwise in writing.
Once purchased, memberships and class packages are normally non-refundable except where required by law or in exceptional circumstances at the discretion of Yoga x Life management.
Auto-renewal and minimum terms
Monthly memberships renew automatically, with payment taken on the anniversary of the first class taken following sign-up unless otherwise stated at the point of purchase. Where a minimum sign-up period applies, that minimum term forms part of the membership agreement.
Pauses, upgrades, downgrades and cancellations
If you wish to pause, upgrade, downgrade, or cancel a membership, you must email managers@yogaxlifestudios.com in writing. Changes to memberships, including pauses, downgrades, and upgrades, require 7 working days’ notice before the date of change.
Membership pauses are available for a minimum period of one full month. A pause fee of £5 per month applies for each month of pause.
Members may pause their membership a maximum of 3 times in any 12-month period, up to a total maximum of 3 months of pause in that period, unless otherwise agreed by us in writing.
Pauses are intended for more substantial absences such as travel, medical reasons, or work commitments, and are not designed for intermittent or casual use. To pause a membership, we require both a start date and an end date. During a pause, no bookings may be made under that membership.
Paused months do not count towards any minimum membership term and will be added to the end of the relevant term where applicable.
Medical exemption
Where a member is unable to attend for medical reasons, including serious illness, injury, pregnancy, or another health-related circumstance, we may agree to waive the standard pause fee or allow a longer or alternative pause arrangement at our discretion.
We may ask for reasonable supporting evidence and any medical exemption or alternative arrangement must be confirmed by us in writing.
Failed payments and arrears
Memberships remain active and payable until they are formally cancelled in line with the required notice period. Non-attendance, non-use, or removing payment details does not in itself cancel a membership.
If a payment fails or no valid payment method is attached to the account, the membership may still be treated as active and any outstanding balance may remain due. If valid payment details are added later, missed payments may be backdated and charged to the account.
Expiry, availability and pricing
Pre-paid packages are subject to the expiry terms shown at the point of purchase. Holding a membership or class pass does not guarantee availability on any specific class, teacher, event, or timeslot.
Pricing for memberships, passes, and introductory offers may be updated from time to time. Any changes will apply in line with the relevant purchase terms and applicable law.
4. Trainings terms
These terms apply to teacher trainings, continuing education, graduate opportunities, mentorship, advanced study pathways, and related educational events offered through Yoga x Life. Yoga x Life Trainings forms part of the wider Yoga x Life ecosystem. This section covers applications, suitability, booking, payment, attendance, certification, coursework, conduct, intellectual property, and deferment.
Applications and suitability
Some trainings require prior experience, a degree of personal practice, or readiness for the material. It is your responsibility to read the course information carefully before applying or booking, and to contact us if you are unsure whether a training is suitable for you.
We reserve the right to request further information before confirming a place, and to decline an application or booking where we reasonably believe the training is not suitable, safe, or appropriate for the applicant at that time.
Booking and payment
A place on a training is confirmed only once we have received the required deposit, instalment, or full payment and have confirmed your booking in writing.
If a payment plan is offered, payments must be made according to the agreed schedule. Deposits are normally non-refundable unless a specific training page states otherwise.
If payment deadlines are missed and no alternative arrangement has been agreed in writing, we reserve the right to suspend access to the training, withhold course materials, or treat the booking as cancelled.
Attendance, coursework and certification
Where a training leads to certification or completion status, participants must meet the stated attendance, coursework, practical teaching, assessment, and conduct requirements for that course.
Payment for a training place does not in itself guarantee certification. Certification or completion depends on satisfying the relevant requirements.
Missing contact hours may affect eligibility to complete or certify on the intended dates. Where catch-up options are available, they may involve additional costs and cannot be guaranteed for every module or intake.
Missed modules, deferment and transfer
If illness, injury, family emergency, or another serious circumstance prevents you from attending part of a training, please contact us as soon as possible. We will consider whether deferment, transfer, catch-up, or repeat attendance is possible, but such options are discretionary and depend on course structure, staffing, and future availability.
Any agreement to defer to a future intake, repeat a module, or access missed content later must be confirmed in writing. Additional administration or attendance fees may apply.
Conduct, confidentiality and learning environment
Trainings rely on respectful participation, appropriate boundaries, and a willingness to engage responsibly with teachers, peers, and the material. Where group process or personal sharing forms part of the course, participants are expected to respect the privacy and confidentiality of others.
We reserve the right to remove a participant, without refund, where behaviour is abusive, unsafe, discriminatory, persistently disruptive, or incompatible with the learning environment.
Training materials and intellectual property
Training manuals, recordings, teaching methods, written materials, and other course resources are provided for the participant’s personal educational use only unless otherwise agreed in writing. They may not be copied, republished, redistributed, commercially taught from, or reproduced beyond reasonable personal study use without permission.
Graduate and alumni communications
If you complete a training or join a graduate pathway, we may contact you with information relevant to your course, certification, alumni opportunities, further trainings, community spaces, or graduate development, in line with your communication preferences and applicable data protection law.
5. Kula terms of use
These terms apply to Kula, the Yoga x Life online community and digital membership space, including online classes, recordings, live sessions, member spaces, alumni areas, and community access through platforms such as Circle. Kula forms part of the wider Yoga x Life ecosystem and may be delivered through Yoga x Life Studios Ltd and related Yoga x Life services. This section covers access, digital content use, billing, moderation, community standards, and platform availability.
Personal licence and access
When you purchase or access Kula, you receive a personal, limited, non-exclusive, revocable, non-transferable licence to access the content and community features included within your membership or purchase.
Kula memberships and login details are for the named member only and must not be shared. Access to paid content, member areas, alumni spaces, and live sessions is personal and non-transferable.
Content use and intellectual property
All classes, recordings, materials, resources, written content, and other digital teaching assets provided through Kula are for personal use only. They may not be copied, screen-recorded, republished, redistributed, uploaded elsewhere, shared publicly, or used for commercial teaching or training without prior written permission.
We reserve the right to withdraw access to content where misuse, copying, or unauthorised distribution is suspected.
Community standards and moderation
Kula is intended to be a respectful and supportive space. Members must not post or share content that is abusive, discriminatory, defamatory, unlawful, misleading, exploitative, harassing, or harmful to others.
We reserve the right to moderate, edit, remove, restrict, or suspend posts, comments, messages, or accounts where necessary to protect the integrity and safety of the community.
Billing, cancellations and service changes
Where Kula operates as a paid membership, it remains active until cancelled in line with the billing terms shown at the point of sign-up. Non-use does not automatically cancel a membership.
Where billing is managed through a third-party platform, you may also be subject to that platform’s payment and access rules in addition to these terms.
We may update, reorganise, add, remove, or replace Kula features, content, archived recordings, events, or membership benefits over time. Kula is an evolving platform, and while we aim to act in good faith and give reasonable notice of significant changes, we do not guarantee that specific content or archived materials will remain available indefinitely.
Platform availability
Kula may rely on third-party platforms and services, including Circle and related tools. We do our best to maintain stable access, but we cannot guarantee uninterrupted availability and are not responsible for outages, bugs, security incidents, or technical changes caused by third-party providers, although we will aim to respond reasonably where such issues affect delivery.
6. Retreat bookings and participation
These terms apply to retreats booked through Yoga x Life Retreats. Yoga x Life Retreats is operated by Yoga x Life Retreats Ltd, registered in England and Wales, with registered address at Collingwood Buildings, 38 Collingwood Street, Newcastle Upon Tyne, England, NE1 1JF. This section covers booking, pricing, payments, health, travel, participation, accommodation, changes, conduct, complaints, and liability.
Booking and contract
A retreat place is secured only once we receive your completed booking details, the required deposit or payment, and confirm your booking in writing.
The person making the booking confirms that they are at least 18 years old and, where relevant, are authorised to accept these terms on behalf of any additional participant included in the booking.
Prices and inclusions
The price of your retreat, and what is included in that price, is set out on the relevant retreat page or booking materials. Unless clearly stated otherwise, retreat prices do not include flights, visas, travel insurance, optional extras, spending money, independent excursions, or other personal expenses.
Payment deadlines
A non-refundable deposit is generally required at the time of booking unless otherwise stated on the retreat page. The remaining balance is usually due no later than 4 weeks before the retreat start date unless a different deadline is stated for that retreat.
If the balance is not paid by the due date and no alternative written arrangement is in place, we may treat the booking as cancelled and apply the relevant cancellation terms.
Health, medical disclosure and participation
Retreats may include yoga, movement, meditation, breathwork, excursions, swimming, hiking, and other activities with inherent risks. By attending, you confirm that you are physically and mentally fit to participate and that you take responsibility for your own wellbeing during the retreat.
You must provide accurate information about injuries, allergies, mental or physical health conditions, dietary needs, medications, accessibility needs, and any other matter that may be relevant to your safe participation.
Our retreats are not a substitute for medical or psychological care. If you are under medical supervision, have a serious condition, or are uncertain about suitability, you should seek professional advice before booking.
Insurance, travel and documentation
You are responsible for arranging your own travel, ensuring that you hold a valid passport and any required visas or travel permissions, and meeting any entry requirements for the destination.
We strongly recommend that you take out comprehensive travel insurance at the time of booking, including cover for cancellation, medical treatment, injury, personal belongings, and travel disruption.
Accommodation and special requests
Accommodation details are set out on the relevant retreat page. Rooming preferences and special requests will be noted where possible but cannot be guaranteed unless expressly confirmed in writing.
If you request a room change, transfer, or other accommodation adjustment, we will try to help where possible, but this is subject to availability and may involve additional charges.
Changes by you
If you wish to request a transfer of your place, a name change, a room change, or another booking amendment, please contact us in writing. We may allow certain changes at our discretion, subject to feasibility, administrative burden, and any additional costs or supplier charges.
Conduct and retreat environment
We aim to create a respectful, safe, and supportive retreat environment. Participants are expected to act with consideration towards the venue, teachers, local staff, suppliers, and fellow guests, and to comply with any reasonable instructions given by the retreat leaders or host venue.
We reserve the right to refuse participation or ask a guest to leave, without refund, where behaviour is unsafe, abusive, discriminatory, unlawful, disruptive, intoxicated, or otherwise damaging to the retreat environment.
Complaints during the retreat
If you have a concern during a retreat, please raise it with one of the retreat leaders or coordinators as soon as possible so we have the opportunity to address it during your stay. If you remain dissatisfied, you may follow up in writing after the retreat.

Liability
We will exercise reasonable care and skill in providing the retreat. However, we are not responsible for losses, delays, expenses, or disruption arising from matters beyond our reasonable control, including third-party travel providers, airline disruption, supplier failures outside our control, weather, local conditions, lost property, or individual health issues unless caused by our negligence.
We are not liable for independent travel costs such as flights, airport hotels, onward travel, or other separately booked expenses unless required by law.
Nothing in these terms excludes or limits liability that cannot legally be excluded or limited under applicable law.
7. Retreat cancellations, refunds and organiser changes
These terms apply specifically to retreat cancellations, refunds, instalments, organiser changes, and force majeure affecting retreat bookings made through Yoga x Life Retreats Ltd.
Cancellations by you
All retreat deposits are non-refundable and non-transferable unless required otherwise by law.
If a guest cancels more than 6 months before the retreat start date, they will receive a refund of 50% of payments made beyond the deposit.
If a guest cancels 90 days before the retreat start date, they will receive a refund of 25% of the total retreat price minus the deposit.
If a guest cancels less than 60 days before the retreat start date, or fails to attend, the retreat price is non-refundable.
All cancellations must be made in writing by email, and the date of cancellation is the date on which the email is received.
Travel insurance is strongly recommended to cover cancellation for illness, injury, family circumstances, work disruption, travel problems, or other personal reasons.
Replacement participants
If you are no longer able to attend, you may contact us to ask whether your place can be transferred to another suitable participant. Any such transfer is entirely at our discretion, subject to feasibility, deadlines, supplier constraints, and any applicable administration charges.
Changes or cancellation by us
We reserve the right to make reasonable changes to the retreat where necessary, including changes to the schedule, teaching team, room allocation, excursions, venue details, or format, provided that the overall character of the retreat is not materially altered.
If we need to make a significant change before the retreat begins, or if we need to cancel the retreat, we will notify you as soon as reasonably possible and will aim to offer one of the following:
transfer to a comparable retreat where available,
credit towards a future retreat,
or an appropriate refund of amounts paid to us.
If we cancel the retreat entirely and no suitable transfer or credit is accepted, we will refund monies paid to us for the retreat itself. Unless required by law, we are not responsible for flights or other independently arranged travel or accommodation costs.
Force majeure
We are not liable for failure to perform, cancellation, delay, or significant change caused by events beyond our reasonable control. This may include natural disasters, war, terrorism, civil unrest, epidemic or pandemic events, government restrictions, border closures, supplier insolvency, severe weather, transport disruption, or serious illness affecting key personnel.
Where force majeure affects a retreat, we will act reasonably and in good faith to consider rescheduling, transfer, credit, partial refund, or another fair solution in light of the circumstances and non-recoverable supplier costs.
Payment plans and third-party instalments
Yoga x Life Retreats may offer in-house payment plans by written agreement. All instalment plans are agreed case by case, with dates and amounts confirmed at the time of booking.
The full retreat balance must still be paid by the required deadline unless an exceptional alternative arrangement has been agreed in writing.
Deposits remain non-refundable, and payments already made may become non-refundable in line with the relevant cancellation terms.
If scheduled payments are missed, we reserve the right to treat the booking as cancelled, release the place, or apply administration and missed payment charges where these have been stated in your booking agreement.
Where available, guests may choose to use third-party instalment providers such as Klarna or Clearpay. If selected, payments, fees, credit checks, instalment schedules, and any late payment consequences are managed between the guest and that provider according to the provider’s own terms.
Our own retreat booking terms, cancellation terms, and retreat obligations still apply even where payment is made through a third-party instalment service. If a refund is due, it will usually be processed back through the original payment route.
Consumer rights
Where UK consumer law grants you rights that cannot legally be excluded, those rights continue to apply. If any part of these retreat cancellation terms is found unenforceable, the remaining terms will continue to apply so far as legally permitted.
8. Privacy, data and communications
This privacy section applies across Yoga x Life Studios, Yoga x Life Retreats, Yoga x Life Trainings, and Kula. Depending on the services you use, your information may be processed by Yoga x Life Studios Ltd, Yoga x Life Retreats Ltd, and related Yoga x Life services.

Information we may collect
We may collect your name, email address, phone number, postal details, booking history, attendance records, payment information, communication preferences, and account details.
We may also collect health or wellbeing information that you choose to disclose where relevant to participation or safety.
For retreats, we may collect dietary requirements, emergency contacts, rooming preferences, accessibility needs, travel details, and relevant medical disclosures.
For trainings, we may collect application details, coursework status, attendance records, certification progress, and alumni participation information.
For Kula, we may collect account details, access information, and community activity where relevant to delivery, moderation, and support.
Lawful bases for processing
We process personal data on one or more of the following bases, depending on the context:
to perform a contract with you,
to pursue legitimate interests in operating and improving our services,
to comply with legal obligations,
to protect vital interests where relevant,
and, where required, on the basis of consent, particularly for certain marketing communications.
How we use your information
We use your information to manage bookings, memberships, classes, trainings, retreats, and online access.
We use it to provide customer support, respond to enquiries, administer payments, support participation and safety, maintain records, and communicate operational updates relating to services you have booked, joined, or enquired about.
We may also use your information for marketing communications where you have opted in, where we are lawfully permitted to rely on an existing customer relationship, or where another lawful basis applies.
Internal sharing across Yoga x Life
Because Yoga x Life operates across studios, trainings, retreats, events, and community spaces, relevant information may be shared internally where this is necessary to deliver the services you use or request.
This may include sharing information between Yoga x Life Studios Ltd, Yoga x Life Retreats Ltd, Yoga x Life Trainings, and Kula where services overlap, where you move between offerings, where attendance or eligibility needs to be verified, where support is needed, or where mailing list and communication systems are managed centrally.
This does not mean all data is shared freely across all areas at all times. We aim to limit access to staff, teachers, coordinators, and contractors who genuinely need the information in order to carry out their role.
Third-party processors and platforms
We use third-party service providers and digital platforms to help deliver our services. Yoga x Life uses Mariana Tek for bookings, account management, payments, and attendance, and may also use digital community platforms such as Circle for Kula-style access.
Retreats, payment plans, mailing systems, forms, newsletters, checkout tools, and other services may also involve carefully chosen third-party platforms.
Where third-party processors are used, we aim to work with providers that offer appropriate security and data protection standards.
International transfers and retreat delivery
Because retreats may take place outside the UK, some information may need to be processed or shared internationally in order to deliver the retreat safely and effectively. This may include sharing relevant information with venues, accommodation providers, catering teams, transport providers, local coordinators, or facilitators involved in delivery.
Where this happens, we will take reasonable steps to ensure that personal data is handled appropriately and only where necessary for retreat delivery, logistics, safety, or legal compliance.
Marketing communications
We may contact you with operational information about services you use, book, enquire about, or request information on.
We may also send newsletters, retreat announcements, training launches, studio news, and related updates where you have opted in, where we have an existing relationship and are lawfully permitted to contact you, or where another lawful basis applies.
You can unsubscribe from marketing emails at any time using the unsubscribe link or by contacting us directly. Operational messages relating to active bookings, memberships, trainings, retreats, or account administration may still be sent where necessary.
Retention
We retain personal data only for as long as reasonably necessary for the purposes for which it was collected, including legal, accounting, insurance, safeguarding, tax, dispute resolution, operational, and regulatory reasons. Different services may require different retention periods.
Your rights
Under UK data protection law, you may have the right to request access to your data, request correction of inaccurate data, request deletion where appropriate, object to or restrict certain processing, withdraw consent where consent is relied upon, and complain to the Information Commissioner’s Office if you believe your rights have been infringed.
